Discover Volunteer Opportunities
Browse the volunteer events list to find opportunities that match your interests, location, and availability, and review full details before registering.
Prerequisites

Steps

Open the events list from your volunteer dashboard. All publicly visible events appear in a card-based list.

Apply filters for keyword, ZIP/postal code, city or venue, organization, category, eligibility, date range, event type, and approval type. Optionally show only events with available spots.

Sort results by upcoming date (default), name, or newest, then select Search to apply filters or Clear to reset them.

Switch to calendar view to browse events by month. Select an event for a quick summary, then open its full detail page.

Open an event's detail page to review date, time, and location, organization, category and capacity, waitlist status and registration window, and eligibility requirements, duties, dress code, and required materials.

Check the registration banner on the detail page for open/closed status, available spots, and waitlist availability before deciding to register.
Common Issues
No matching events
Clear all filters and retry. Events may be visibility-restricted or not yet published for your area or time window.
Event inaccessible
The event may be restricted by visibility settings. Contact the hosting agency.
"Available Spots: N/A"
This means the event has no capacity limit — anyone can register.
Event Registration
Requires open registration window
Register or Join Waitlist
Sign up for an event from the events list or its detail page. VolunTrak confirms Registered status immediately when spots are available, or places you on the Waitlist when the event is full and waitlisting is enabled.

- Target event is visible and its registration window is open

For a quick sign-up, find the event in the events list and select Sign Up (spots available) or Join Waitlist (event full). A confirmation message appears and the button changes to Registered.

Alternatively, open the event's detail page and select Sign Up for this Event in the registration banner. Your resulting status — Registered or Waitlisted — appears in the banner right after you submit.

Complete the registration form, including any required consent/waiver acknowledgment and, for private or unlisted events, the access token provided by the organizer.

For events with individual time-slot shifts, review each shift's time, location, and availability under Available Shifts, then select Book Shift or Join Waitlist.

Submit your registration and confirm your final status on the event detail page. Calendar links (Google Calendar, Outlook, and .ics download) appear there once you're registered.
Common Issues
Registration not yet open
The banner shows the date registration opens. Return on or after that date.
Registration closed
A "Registration Closed" badge means the event is no longer accepting sign-ups. Contact the event organizer.
Already registered
An active registration already exists for this event on your account. Check the event detail page for your current status.
Not eligible
The event has eligibility requirements your account doesn't currently satisfy. Contact the event organizer.
Access token required
Private or unlisted events require a token from the agency or event organizer before you can register.
Attendance Check-In

Check In with QR
Record your attendance at a volunteer event by scanning a QR code. VolunTrak uses a two-scan model: your first scan checks you in, and your second scan checks you out and automatically logs your hours.
Prerequisites
- Signed in with a verified volunteer account
- An active event registration, or an organization QR code displayed at the venue
Steps

Open the QR scanner from your volunteer dashboard and select Start Camera Scanner, allowing camera access when prompted.

Point your camera at the agency's Organization Presented QR code displayed at the venue (valid for 1 hour, reusable by every volunteer), or generate your own one-time Student/Volunteer Presented code (valid for 15 minutes) and show it to agency staff to scan.

On your first scan, a "Checked In!" confirmation appears with the event name.

Scan the same code again when you leave. A "Checked Out & Hours Logged!" confirmation appears with the event name, agency, hours worked, and whether the entry was auto-approved.

If your camera is unavailable, use the manual QR code entry field to type or paste the code value and submit it instead.

If you're offline when scanning, your check-in is queued locally and syncs automatically once you reconnect.
Common Issues
Camera access required
Allow camera permissions in your browser, or use the manual entry field instead.
QR code expired or invalid
Organization codes expire after 1 hour and volunteer-generated codes after 15 minutes. Ask the agency to regenerate a code, or generate a new one yourself.
Hours not in ledger
Refresh your hours ledger. If the entry is still missing after a completed check-out scan, log the hours manually.
Hours Submission
Requires hour-logging permission on your account
Submit Hours Manually
Log volunteer hours yourself when they weren't captured automatically by a QR check-in, or to record independent or off-platform service.
Prerequisites
- Signed in with a volunteer account that has hour-logging permission enabled
Steps

Open Log Hours from your volunteer dashboard, or from your hours ledger.

Start typing an event name and select it from the autocomplete suggestions; the date field auto-fills. If the event isn't listed, type its full name and choose the option to use it as a new event.

Enter the hours worked as a decimal between 0.1 and 24 (for example, 1.5 for one hour thirty minutes).

Select the date you performed the work. It must fall within the past 12 months and cannot be in the future.

Optionally add a description of your activities and supervisor contact information. Providing a supervisor email sends them a verification request.

Leave Requires Approval checked (the default) so the entry is reviewed before it counts, or uncheck it to have the entry counted immediately without review.

Submit the entry and confirm it appears in your hours ledger.
Common Issues
Duplicate submission blocked
Only one entry per event/date combination is allowed. Edit the existing entry if a correction is needed.
Event not found
Type the full event name and choose the option to add it as a new event.
Log Hours option not visible
Hour-logging may not be enabled on your account. Contact your administrator.
Supervisor verification expired
Verification links expire after 7 days. Open the entry and select the option to re-send the verification email.
Entry rejected
Review the reason shown on the entry, then use the Resubmit option from your hours ledger to correct and resend it.
Status Monitoring
Requires existing registrations or hour entries
Monitor Ledger and Notifications
Track the approval status of your logged hours and stay informed on registration updates and approval decisions through the notifications center.
Prerequisites
- At least one submitted hours entry or event registration on your account
Steps

Open your hours ledger from the volunteer dashboard and review the summary cards: Total Hours, Approved Hours, and Pending Hours.

Check each entry's status badge: Approved (fully approved), Partial Approval (one of two approvals done), Pending (awaiting agency validation), or Rejected (denied, with a reason shown inline). A locked icon means an approved entry is frozen and can no longer be edited.

Filter entries by status or date range, then apply or clear filters as needed.

Select any row to view its full approval history, supervisor verification status, and rejection reason if applicable.

Open the Notifications center and filter by type — Hours Approval, Event Registration, Access Request, Export, or System Alert — and by read state.

Select Mark all read to clear your unread queue at once, or mark individual notifications as read.
Common Issues
Missing notifications
Set the type and read-state filters back to "All" and retry — a filter may be hiding what you're looking for.
Status not updating
Agency and school staff approve entries on their own schedule, so a Pending or Partial status can take time to change — no action is required on your part while it's under review.
Entry row not visible
Clear your date and status filters; the entry may fall outside the current filter range.
Data Export
Requires signed-in volunteer account
Export Personal History
Download your volunteer hours history as a CSV or PDF file for compliance reporting, external submissions, or your own records.
Prerequisites
- Signed in with a verified volunteer account
Steps

Select Export in the sidebar navigation to open the Export My Volunteer Hours page.

Review the summary cards at the top: Total Hours, Approved Hours, Pending Hours, and Total Entries.

Choose Download CSV for a spreadsheet of your logged hours, dates, events, and statuses, or Download PDF for a formatted printable report.

The file downloads immediately to your device. The export always includes every entry in your ledger, regardless of approval status — there's no per-export date filtering on this page.

To review a subset of entries first, filter your hours ledger before exporting.

Open the downloaded file and confirm the totals, date range, event names, and your name are correct.
Common Issues
Blank export or zero hours
Make sure hours have been logged to your ledger first. All entries are included regardless of approval status.
Unauthorized or blank download
Make sure you're signed in, then retry the export from the Export page.
PDF shows the wrong name
The report uses the name on your account. Contact your administrator if your profile name is incorrect.
Need a CommonApp-formatted report
The volunteer export doesn't include a CommonApp-formatted option. Contact your organization's administrator if you need one.
