SchoolBanks, Inc. ("SchoolBanks," "VolunTrak," "we," "us," or "our") operates the VolunTrak platform, a SchoolBanks, Inc. product — a connected volunteer tracking system for schools, students, nonprofits, and community agencies. This Privacy Policy describes how we collect, use, and protect information about you when you use our platform.
Account information. When you register, we collect your name, email address, and role (student, school staff, nonprofit staff, volunteer, etc.).
Volunteer activity data. Hours logged, events attended, agencies served, check-in records, and verification status.
Student education records. For users affiliated with a participating school district, certain records may constitute education records under FERPA. See our FERPA Compliance page for details.
Usage data. IP address, browser type, pages viewed, and interaction data, collected automatically via standard web logging.
We do not sell, rent, or trade personal information. We share information only:
We do not use student data to build advertising profiles, sell to third parties, or for any purpose other than providing the VolunTrak service to the student's school or district.
VolunTrak.io is a product operated by SchoolBanks, Inc. ("we," "us"). If you provide us with your mobile phone number and opt in to receive text messages — for example, during VolunTrak account registration — you consent to receive recurring SMS/text messages from VolunTrak related to your submitted volunteer-hour logs, including submission confirmations, approval or rejection status updates, and reminders to log your hours, for the school(s) or district(s) you volunteer with on the VolunTrak platform.
Message frequency varies depending on your volunteer activity. Message and data rates may apply. Consult your mobile carrier for details on your plan.
You may opt out of SMS messages at any time by replying STOP to any message you receive from us. You will receive one final message confirming your opt-out, and no further messages will be sent unless you opt back in. For help, reply HELP to any message, or contact us at hello@voluntrak.io.
Text messaging originator opt-in data and consent will not be sold, shared, or disclosed to third parties or affiliates for marketing or promotional purposes. Carriers are not liable for delayed or undelivered messages.
This SMS program is separate from and does not affect your other VolunTrak account communications or notification preferences.
We retain your account data for as long as your account is active. When an account is closed or a district contract ends, data is retained for a period sufficient to comply with legal obligations and then deleted per our retention schedule. Districts may configure shorter retention periods under their data processing agreements.
Depending on applicable law, you may have the right to access, correct, or delete your personal information. Students and parents with rights under FERPA should refer to our FERPA Compliance page. For other requests, contact us at hello@voluntrak.io.
We use TLS encryption for data in transit, encryption at rest for sensitive records, role-based access controls, multi-factor authentication support, and audit logging to protect your data. See our Security & Compliance page for details.
We may update this policy from time to time. When we make material changes, we will notify you via email or a notice on the platform. Continued use after notice constitutes acceptance of the updated policy.
